Accountant / Team Administrator – Vertu Group NZ
Reporting to: Financial Controller
Location: Auckland, New Zealand
Employment Type: Full-Time
Vertu Group is the authorised New Zealand dealership for SANY Earthmoving Equipment, Sitrak Trucks, and Yutong Buses. The Group operates three branches across New Zealand, located in Auckland, Tauranga, and Christchurch.
Primary Responsibilities Accounts Receivable
- Issue tax invoices promptly, ensuring correct payment terms are stated.
- Monitor the accounts receivable ledger and ensure timely collection of outstanding balances. Provide weekly and monthly updates to the Financial Controller on receivables.
- Review aged receivables reports weekly; collaborate with the aftersales and sales teams to follow up with customers on overdue accounts.
- Accurately apply customer payments to invoices in the accounting system.
- Investigate and resolve payment discrepancies by liaising directly with customers or their accounts departments.
- Reconcile customer accounts and maintain clear records of communications regarding payments. Be prepared to present this information to management when required.
- Support monthly and year-end accounts receivable reconciliations.
Accounts Payable
- Process supplier invoices accurately, ensuring correct coding, approvals, and timely data entry into the accounting system.
- Prepare weekly and monthly payment runs, adhering to agreed payment terms.
- Reconcile supplier statements and resolve discrepancies promptly.
- Maintain the accounts payable ledger, ensuring all supplier accounts are current.
- Communicate with suppliers to address any invoice or payment-related queries.
Banking and Treasury
- Perform daily banking tasks, including posting cash receipts and processing payments.
- Reconcile corporate bank accounts monthly for both receipts and disbursements.
- Maintain up-to-date records of all banking transactions and assist in monthly cash flow reporting.
- Assist in setting up and maintaining banking templates for recurring payments.
- Monitor daily bank balances and ensure sufficient liquidity to meet upcoming payment obligations.
Accounting Support
- Assist in preparing and maintaining supporting documentation for monthly management accounts.
- Maintain general ledger postings and assist in preparing journal entries as needed.
- Respond to accounting inquiries from customers and suppliers via email and telephone calls.
Administrative Support
- Manage office stationery and equipment supplies; monitor usage and reorder as needed.
- Oversee fleet management, including vehicle registration, Rego, RUC, WOF, servicing, and fuel card coordination.
- Arrange domestic and international travel, accommodation, and rental car bookings for staff, ensuring compliance with company travel policies.
- Provide general administrative support to the wider New Zealand team (Tauranga and Christchurch); manage online orders of stationery, office supplies, and equipment as approved by management.
- Perform other ad hoc tasks as required.
Other Requirements
- Serve as the central point of contact within the NZ organisation, fostering strong relationships across all departments (sales, aftersales, management).
- Demonstrate the ability to work independently and meet deadlines with minimal supervision.
- Maintain a professional and proactive approach in managing financial and administrative duties.
- Uphold a high level of confidentiality and integrity.
- 2 Year minimum accounting experience
