About the Role
We're seeking a detail-oriented and organized Operations Coordinator to join our tourism company. You'll be the backbone of our daily operations, managing tour bookings, coordinating vehicle schedules, liaising with clients, and preparing competitive quotes to ensure smooth and profitable tour experiences.
Key Responsibilities
Tour Management & Coordination:
- Organize and schedule tour groups based on customer requirements
- Coordinate tour itineraries and ensure all logistics are properly arranged
- Monitor tour capacity and optimize group sizes for profitability
- Handle tour modifications and last-minute changes efficiently
Vehicle Fleet Coordination:
- Schedule and dispatch vehicles according to tour requirements
- Coordinate with drivers and ensure proper vehicle allocation
- Monitor vehicle availability and maintenance schedules
- Optimize routes and vehicle utilization to reduce costs
Customer Relations & Sales:
- Communicate with clients to confirm tour details and requirements
- Handle customer inquiries via phone, email, and in-person
- Process bookings and manage customer databases
- Follow up with clients for feedback and future bookings
Administrative Tasks:
- Maintain accurate records of bookings, payments, and operations
- Prepare daily operational reports and schedules
- Coordinate with accounting for invoicing and payments
- Ensure compliance with tourism regulations and safety standards
What We're Looking For
Essential Requirements:
- 2+ years experience in tourism operations, travel agency, or similar role
- Strong organizational and multitasking abilities
- Excellent communication skills in English and Mandarin
- Proficiency in Microsoft Office (Excel, Word) and booking systems
- Customer service experience with proven problem-solving skills
- Attention to detail and ability to work under pressure
- Knowledge of local attractions, hotels, and tourism services
Preferred Qualifications:
- Experience with Xero, MS Office software, Google Drive
- Background in travel industry or hospitality management
- Additional language skills
- Understanding of group travel logistics and requirements
- Previous experience in pricing and quotation preparation
- Knowledge of transportation regulations and safety requirements
