Job Title: Part-time QS / Administration / Personal Assistant
Job SummaryThe QS / Administration / Personal Assistant provides comprehensive support to the Director and project team. This role combines quantity surveying assistance, project coordination, and administrative management to ensure smooth daily operations and timely project delivery.
Key Responsibilities
1. Project & QS Support
Assist in reviewing quotations and tender submissions.
Prepare and update cost comparisons and variation summaries.
Follow up with contractors, consultants, and suppliers on progress and documentation.
Support project planning and scheduling to ensure works are completed on time.
Maintain accurate records of project expenses and documents.
2. Construction & Site Coordination
Assist in liaising with clients, consultants, contractors, and government authorities.
Help coordinate on-site workers where required.
Support in selecting and arranging delivery of tools and materials.
Check and help prepare site reports, drawings, and designs.
Support quality control procedures and maintain compliance documentation.
Prepare and maintain accurate site paperwork and daily records.
3. Administration & Communication
Manage project correspondence, emails, and document filing.
Organize and maintain project documentation, contracts, and records.
Handle incoming calls, emails, messages, and coordination with stakeholders through any
other communication tools.
Draft letters, reports, meeting minutes, and internal communications.
4. Personal Assistant Duties
Manage the Director’s calendar, appointments, and meeting schedules.
Assist in drafting professional emails, messages, and presentation materials.
Provide general day-to-day support to ensure efficient workflow
Skills & QualificationsRelevant qualification or experience in Construction, QS, or Project Administration. Strong organizational and multitasking abilities. Good written and verbal communication skills in English (Chinese an advantage). Proficient in Microsoft Office (Word, Excel, Outlook) and document management tools. Attention to detail and ability to meet deadlines. Proactive, reliable, and able to work both independently and within a team.
