The main duties and work can be outlined as below: 1. General office/ administration tasksincluding: Ø Providing a welcoming, helpful andprofessional environment for visitors to the office; Ø Providing professional telephone manner andwritten contact with customers and clients, including prompt and friendlyreceipt of calls; Ø Maintain office services: maintain officeequipment, establish standards and procedures, control correspondence andorganize office operations and procedures to ensure office equipment isoperational – phone, fax, photocopier, computer net work, printer, office Mobilphones etc; Ø Assist to process and enter IRD GSTreceipts Ø Processing incoming and outgoing mail on adaily basis Ø Preparing reports, promotional material andother documents as required. Ø Ordering stationery, printing, etc; 2. Propertymanagement task including: Ø Provide an exceptional customer focustoward both owner and tenants; Ø You will be expected to be familiar withoffice listings and property advertising; Ø Efficient and accurate processing of rentalreceipts, water or other invoices to tenants, in accordance with officeprocedures; Ø Accurate completion of all necessarydocumentation associated with leasing and managing properties, including thepreparation of lodgment of rental bond documents, inspection reports, typing ofleases, generation and distribution of monthly owner statements and maintenanceof the key systems for our properties; Ø Process and maintenance rental mastersoftware system; Ø Asthe first point of contact for customers or visitors to the office, you will beexpected to answer inquiries in an efficient, professional and friendly manner; Ø Provide internal team of with professionaladministrative and word-processing support; Ø Ensure that telephone calls are attended towithin three (3) rings, distribute calls and take accurate detailed message; Ø Maintainsproperty by investigating and resolving tenant complaints; enforcing rules ofoccupancy; inspecting vacant units and completing inspections of moving in and out. Prepares reports by collecting,analyzing, and summarizing data and trends Ø Maintain a well groomed and business likeappearance; 3. Any otherduties as requested by the managers These duties may be modified andupdated by the employer from time to time following agreement with theemployee. The employee also agrees to perform all other related duties andcomply with reasonable instructions issued by the employer.
